Dental Office Manager

Established patient-centered dental practice seeks a confident, trained office manager. Must have great people skills, be a team player, and be computer literate. Compensation based on experience and may include a bonus if qualified. Five years experience preferred, one year experience required.

The office manager acts as an assistant to the doctor(s). Many of the doctor's day-to-day operations duties may be transferred to this person who works under the direction of the doctor. Coordinate activities of clerical and dental personnel in organization including work scheduling and staffing; maintain all accounting systems including general accounting, dental management systems, and payroll; answer telephones, greet patients and other visitors. The Office Manager we are looking for in our bed-side care and quality of service practice is one who can and is willing to hold a position of Administrative and Mangerial responsability in our organization.

  • Responsible for understanding ALL office operation systems in order to oversee them.
  • Oversee patient marketing and customer satisfaction.
  • Prepare employee work schedules.
  • Analyze and organize office operations and procedures such as bookkeeping, preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other clerical services.
  • Evaluate office production, revises procedures, or devises new forms to improve efficiency of workflow.
  • Open and distribute mail.
  • Post daily charges and receipts to accounting systems such as dental management system, accounts payable, accounts receivable, general ledger and monitors all such entries made by other staff members.
  • Maintain petty cash account.
  • Maintain separate general ledger accounts for dental partners.
  • Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Prepare agenda and conduct staff meetings
  • Record minutes of staff meetings; print and distribute to staff members.
  • Maintain office personnel records including such items as vacation, leave, wages, bonuses, absence records, performance reviews, terminations, and transfers in accordance with applicable laws and regulations.
  • Determine staffing needs, recruit and hire necessary personnel.
  • Conduct reference checks and schedule appropriate pre-employment tests for job candidates.
  • Plan and conduct new employee orientation to foster positive attitude toward company goals.
  • Make sure all staff members read and understand office policies as outlined in the Office Policy Manual.
  • Schedule routine meetings with staff and dentist(s)
  • Assist with preparation and facilitates employee performance evaluations.
  • Handle all employee relation issues such as policy interpretation, staff morale, and benefits.
  • Compile daily, weekly, monthly, quarterly and year-end reports to show statistics such as cash receipts and expenditures, accounts payable and receivable, profit and loss, and other items pertinent to operation of business.
  • Produce production reports for the office and for each provider.
  • Produce office collections report, both in-the-mail (ITM) and over-the counter (OTC).
  • Produce aged receivables report (30-60-90 report) with most recent payment activity.
  • Produce report on number of new patients and their referral sources.
  • Produce report on number of patients leaving the practice, and the reason for leaving.
  • Handle staff requests.
  • Participate in morning meetings.
